Census File Format

You will be uploading census documents frequently. Using the census template and formatting it correctly will minimize delays and frustration.

Note: There are different census data requirements when creating an initial prospect (Go/No Go) census and a final employer census to upload into the benefitbay® platform.


Stages of Modeling

There are two main stages of the ICHRA modeling process and both have different census data requirements. The Go/No Go Census is used when first prospecting a lead to determine if ICHRA is financially viable. The Final Census is used when employers are confident they will be moving forward with ICHRA and require a more detailed model that will help them determine a contribution strategy. Below you will find a list of the data requirements needed for both stages of modeling.

Census Data Requirements

Go/No Go Census Data Requirements 

  • Employee ID
  • Relationship
  • First Name
  • Last Name
  • Date of Birth (MM/DD/YYYY)
  • Gender
  • Tobacco Use (Y/N)
    • If Tobacco use is not known, mark it as "N."
  • Home Zip Code
  • FT/PT
  • Annual Wages
  • Pay Type
    • Salary
  • Employment Start Date
  • Current Coverage 

When you are adding dependents, you must add them below the employee they are a dependent of. You should include their relationship to the employee, and use the same "Employee ID" so the platform can map the dependents to the correct employee.

  • Current Employer Amount (monthly)
  • Current Employee Amount (monthly)
  • Renewal Employer Amount (monthly)
  • Renewal Employee Amount (monthly)

Final Census Data Requirements:

All the information for the Go/No Go Census plus the following:

  • Tax ID (SSN)
  • Full Home Address (State should be two-letter abbreviations) 
  • Primary Phone Number (Personal phone number for employee)
  • Email (Personal email for Employee)
  • Pay Type (Hourly or Salary)
    • For Hourly; Average Hours Per Week and Hourly Rate
    • For Salary; Annual Wages

Census Format

Please format your census file like the example below. The file type must be a CSV so that it will upload into the benefitbay platform. Include all the required census data points required for the modeling stage you are in.
