Legal Entities
Legal Entities
Legal Entities are an important part of employer administration, especially for organizations with multiple subsidiaries, divisions, or affiliated companies. Each legal entity may operate under its own federal employer identification number (FEIN) and may have separate payroll, benefits, compliance, and reporting requirements. Keeping these entities organized helps ensure employee records stay accurate and administrative processes remain aligned.
A legal entity is a separate business organization within the broader employer structure. Because each entity can have its own legal and reporting responsibilities, it is important to track entity information clearly and assign employees to the correct one.
Overview
The Legal Entities tab is used to define and manage the legal entities associated with an employer group. It provides a central place to store entity information and supports accurate employee assignment for payroll, benefits, ACA 1095 reporting, and other compliance-related needs.
This tab is especially useful for employers that operate more than one company under a shared organization. By keeping legal entity records current, administrators can reduce confusion and support more accurate reporting across the business.
What you can do in this tab
Use the Legal Entities tab to:
- Add and manage legal entities associated with an employer group
- Record key details such as the legal entity name and FEIN
- Assign employees to the correct legal entity
- Support payroll, benefits, ACA 1095 reporting, and compliance workflows
- Improve employee census accuracy and regulatory filing readiness
If an employer has multiple companies, each legal entity should be entered separately so employee records can be tied to the correct organization.
Accurate setup in this tab helps create a stronger foundation for downstream processes. When entity information is incomplete or employees are assigned incorrectly, it can lead to reporting issues, administrative delays, and added manual work for internal teams.
Summary
The Legal Entities tab helps employers maintain accurate organizational records and support streamlined administration across payroll, benefits, and compliance. Keeping legal entity information current helps improve reporting accuracy, reduce errors, and ensure employee records reflect the correct employer structure.
