Using the payroll change report allows for a quick view of changes that have occurred to your employee coverage and should be reflected on payroll.
Purpose:
The change report holds two main functions
- It allows a company to pull a payroll report of only changes that have occurred since the last pull/payroll file was locked. This allows the company better visibility into the changes that have occurred and removes the need to audit a full report for discrepancies.
- All locked reports are available for visibility and historical documentation showing the information that was present at that time.
Access:
- To access the report the first step is to log into your account and navigate to the “Reports page” From here you will click into the payroll changes “view summary”.
- Search only changes by setting the Show field to "Only changes" and selecting the blue search button. Once this filter has been applied you will see a view of only the changes to coverage made since the last payroll file was locked.
- Click, "Lock payroll file." This will save the file for historical visibility. It will also reset the system so that the next time you lock the report, it will only show changes since the last time it was done.
Once the payroll file is locked you can download the .csv file to load the changes into your payroll system and at any time you can select "View previous payroll files". - Choose the most recent file.
- Select "Only Changes" and then click "Search."
- Choose the Download file (.CSV) in the top right corner.
