Follow this guide to sign the benefitbay® contract and get started on the onboarding journey
We are so excited to work with you and your whole team! Signing your company's employer contract is a key step to ensure that you have access to all the services and resources benefitbay has to offer.
Before You Start
Your agent will create the contract. After contract creation, benefitbay leadership will review and countersign the contract. You, or another member of your team, will be assigned as the company Signer and sent a benefitbay welcome email. Create your login using the link in the welcome email.
Signer View
As the company's Signer, you will see the following tasks when you log in: Contract Pending/Contract Signed, Review Reimbursement Schedule, and Sign ICHRA Plan Document.
Signing the Contract
The contract will be located on the 'Setup' tab in benefitbay. If you don't see the 'Setup' tab, you may need to change the coverage period to 2026. This can be done on the 'Enrollment periods' tab using the drop-down menu.
On the 'Setup' tab, you will click the blue 'Sign contract' button. This will take you to the contract for review and signature.
Review the contract as needed, and when you are ready to sign, do so by entering your name (exactly as it is written in benefitbay) to the signature box. Finish signing the contract by clicking the blue 'Submit Signature' button.

Next Steps
In the Signer role, you are also responsible for signing the Reimbursement Schedule (that is, your company's locked employer contribution model) and the ICHRA plan document once they are ready. Additionally, the Signer will be required to provide a digital copy of their signature to be uploaded into benefitbay for the employee ICHRA notices.
Review Reimbursement Schedule
The Reimbursement Schedule is generated in the benefitbay platform as soon as the contribution model is locked. You will electronically sign to approve the locked model. The approved Reimbursement Schedule will be available in the Reports tab, which is accessible to your company's Admins.
Sign ICHRA Plan Document
The ICHRA Plan Document provides specific details about the ICHRA benefit, such as employee eligibility, reimbursement amounts, and administrative procedures. You will electronically sign to approve the plan document. The signed plan document will be available in the Documents tab, which is accessible to your company's Admins.
Signature upload
Additionally, the Signer, or another designated Admin, will be required to provide a digital copy of their signature to be uploaded into benefitbay for the employee ICHRA notices. These notices are required by the carriers when submitting the employee's applications. Failure to add this signature could result in a delay for the insurance application process.
If you have only been assigned the Signer role, contact your company's Admin user(s) to upload your signature.
